A client cancelled a bespoke order after I bought the fabric. Do I have to refund the full deposit?
No, and your credit note should reflect only the amount you are actually returning. If your contract specifies that material costs are non-refundable once sourced, issue a credit note for the balance of the deposit above those costs. Document the material cost clearly so the client understands the breakdown.
Can I issue a credit note for a garment that was returned due to a fault?
Yes. Issue a credit note for the full invoice value or the agreed settlement amount, and describe the reason as 'garment return due to manufacturing defect' or similar. This creates a record that protects you if the client queries the return later or if there is a dispute about what was agreed.
Do I need separate credit notes for fabric and labour if I originally invoiced them separately?
If you listed them as separate line items on the original invoice, credit them as separate lines on the credit note. This makes reconciliation straightforward and shows the client exactly how the refund is calculated. One credit note with multiple lines is fine.
