How do you write a quote?

List the work you will do, break it into clear line items, and put a fixed price against each one. Add your business details, the client name, and a date the quote expires. The form above totals everything and turns it into a PDF you can send. Keep the scope specific so the price holds.

What should a quote include?

A quote should name your business and the client, carry a quote number, and show the date it was issued and the date it expires. Describe each part of the job with a price, then the subtotal, any tax, and the total. Add terms covering what is included and what would cost extra.

Spelling out what falls outside the price protects both sides if the job grows. An expiry date lets you re-price later if your costs change before the client decides.

What is the difference between a quote and an estimate?

A quote is a fixed price you commit to for clearly defined work. An estimate is your best informed guess when the scope is still uncertain, and the final figure can move. Give a quote when you can pin down the job, and an estimate when the details are still being worked out.

Because a quote is binding once accepted, it pays to define the work tightly before you send one. If the job is still vague, an estimate sets expectations without locking you into a number you may regret.

How long should a quote stay valid?

Most quotes stay valid for 14 to 30 days, though you choose the window. A clear expiry date protects you if your costs rise before the client decides, and it gently encourages a timely answer. Set the date in the form above, and re-issue with fresh pricing if the deadline passes.

For work that depends on volatile material prices, a shorter window of one to two weeks is sensible. For straightforward services, a month gives the client room to plan without leaving you exposed.
