About Dog Trainer credit notes
Dog trainers issue credit notes when a training package is cancelled because a dog passes away or an owner moves, when a group class is cancelled due to insufficient enrolment, or when a session is missed because the trainer had to reschedule and a makeup is not possible. Prepaid packages and block bookings are the main source of credits in dog training.
The credit note should specify the number of sessions or classes being credited, the per-session rate, and whether the amount is being refunded or carried forward. A clear reference to the original invoice helps the client match the credit to their payment.
When to issue a credit note
Issue a credit note when an owner prepays for a six-week puppy course but their puppy becomes too ill to attend after the third session. Use one when a group obedience class is cancelled because only two of the eight required participants enrolled. Issue one when a one-to-one aggression rehabilitation programme is paused by veterinary advice and the remaining sessions need to be credited. It also applies when a session is accidentally double-booked and the client cannot attend the rescheduled time.
Frequently asked questions
A client's dog passed away two sessions into a prepaid 10-session programme. What do I credit?
In this situation, most dog trainers refund the remaining sessions as a matter of empathy and professional reputation, regardless of whether the contract technically requires it. Issue a credit note for the 8 unused sessions at the per-session rate. A goodwill gesture like this is remembered and often leads to referrals when the client gets a new dog.
I had to cancel a series of group classes because the venue became unavailable. Do all clients get a full refund?
If the classes were cancelled by you, yes. Issue a credit note to each client for the cancelled sessions they had paid for. If you can reschedule the classes, offer that option first. Only issue refunds for clients who cannot make the rescheduled dates or where rescheduling is not feasible.
My client's dog failed the first assessment and cannot join the advanced course they paid for. What do I credit?
Issue a credit note for the advanced course fee. You may choose to offer the beginner course at a reduced price as an alternative, applying the advanced course credit to the new booking. Document any alternative arrangement in writing so both parties are clear on how the credit is being used.
