Life coaches issue credit notes when a coaching programme is cancelled early and a partial refund is owed, when a client is charged the wrong rate due to a pricing update that was not communicated clearly, or when a session is invoiced but was rescheduled with the credit to carry forward. Multi-session programmes bought upfront are the main source of billing adjustments in coaching practice.
The credit note should state the number of sessions being credited, the per-session value, and whether the client is receiving a cash refund or a credit to apply against future sessions. Linking it to the original invoice ensures both sets of accounts stay in balance.
When to issue a credit note
Issue a credit note when a client purchases a six-month programme but withdraws after two months for personal reasons and your terms allow a prorated refund. Use one when a session is prepaid at an old price and the rate has since changed in the client's favour. Issue one when a session does not take place because you had a scheduling conflict and you wish to document the credit formally. It also applies when a group programme is cancelled due to insufficient enrolment.
Frequently asked questions
My six-month programme is described as non-refundable but a client is in financial difficulty. What should I do?
Whether to issue a credit note is your decision. Legally, a non-refundable contract protects you from having to refund. Commercially and ethically, you may choose to make an exception. If you decide to issue a partial or full credit, document it clearly with a credit note so both your records and the client's reflect the agreed resolution.
I offered a free discovery call but accidentally invoiced it. How do I correct this?
Issue a credit note for the full amount of the invoiced call. Reference the original invoice and add a description such as 'complimentary discovery call, invoiced in error'. This keeps your accounts accurate without needing to cancel or reissue the original invoice.
Can a credit note be issued for online programmes sold through a course platform?
Yes. If you invoiced the client directly rather than through the platform, issue a credit note in the normal way. If the sale went through the platform and the refund is processed through their system, you may not need a separate credit note, though you should reconcile the adjustment in your own accounts.
