About Yoga Instructor credit notes

Yoga instructors issue credit notes when a monthly membership is cancelled mid-cycle and a prorated refund is owed, when a retreat deposit needs to be returned after a cancellation, or when a class pass is adjusted because sessions were incorrectly recorded. Membership and session-based billing produces these adjustments regularly.

The credit note states which classes or period is being credited, the daily or per-class rate where applicable, and the total. It links back to the original invoice so both parties can match the credit to the payment it is reducing.

When to issue a credit note

Issue a credit note when a student cancels their monthly membership after 10 days into a 30-day billing period and a prorated refund is owed under your policy. Use one when a yoga retreat is cancelled by you due to low numbers and all deposits need to be returned. Issue one when a student is charged for an online class they were unable to access due to a technical fault on your end. It also applies when a 10-class pass is issued at the wrong price and the difference needs to be corrected.

Frequently asked questions

A student missed four classes in a month because they were ill. Are they entitled to a credit?

This depends on your studio policy. If you offer a no-questions pause or makeup policy, apply it accordingly and issue a credit note if a cash refund is involved. If your policy is that memberships run regardless of attendance, no credit is owed unless you choose to offer one as a goodwill gesture.

I cancelled a retreat and need to refund all deposits. Is one credit note per student the correct approach?

Yes, issue individual credit notes to each student referencing their original deposit invoice. This ensures each person has a document for their own records and your accounts show the correct liability being cleared. Group refunds without individual documentation can cause reconciliation issues.

Do online yoga class credits work the same way as in-person refunds for tax purposes?

Generally yes, though the VAT or sales tax treatment may differ depending on where your students are located. Digital services sold to consumers in the EU, for example, may be subject to VAT in the customer's country. Mirror the tax treatment of the original invoice on your credit note and seek local tax advice if you sell across borders.
