About Nutritionist credit notes
Nutritionists issue credit notes when a client cancels a multi-session programme partway through, when a consultation is missed due to a scheduling error, or when a supplement recommendation is reversed and the client is owed a rebate. Programmes sold as packages create credits whenever a client cannot complete the sessions they paid for.
The credit note should specify which sessions or services are being reversed, the rate applied, and whether the credit is being refunded or held against a future booking. Linking it to the original invoice keeps the client's account clean.
When to issue a credit note
Issue a credit note when a client purchases a six-month nutrition programme but withdraws after the second month because of a change in medical circumstances. Use one when a corporate wellness package is reduced in scope after invoicing because the headcount changes. Issue one when a client is billed for a follow-up call that did not take place due to a rescheduling error. It also applies when a meal plan is sold at one price but the client was charged the rate for a more intensive package.

Issue a credit note for the sessions not yet delivered. In this situation most practitioners refund fully regardless of their standard policy, both as a matter of ethics and professional reputation. Document the credit note clearly and retain a note of the circumstances in your records.
I provided a client with a custom meal plan but they are now unhappy with the results. Can they claim a refund?
A credit note is not automatically warranted because a client is dissatisfied with outcomes. Nutrition plans involve personal adherence and individual variation. If a service delivery error occurred, a partial credit is appropriate. If the plan was delivered as agreed, the decision to offer any credit is a commercial one rather than a legal requirement.
Do I need to include tax on a credit note for a nutrition consultation?
Follow the same tax treatment as the original invoice. If you charged VAT or GST on the consultation, include the same rate on the credit note applied to the credited amount. Healthcare services have different tax rules in different countries, so consult your accountant if you are unsure whether your services are exempt.
