About Musician credit notes
Musicians issue credit notes when a live performance is cancelled after a deposit is paid, when a sync licence is revoked and the fee needs to be partially returned, or when a session recording runs shorter than booked and the overpayment needs to be documented. These are common billing situations that require a formal record.
The credit note references the original invoice and lists each amount being reversed with a short description. It gives the venue, label, or client a document to process in their system and keeps your accounts clean.
When to issue a credit note
Issue a credit note when a wedding couple cancels two weeks before the event and your contract entitles them to a partial deposit refund. Use one when a film production removes your track from the final cut and you return the sync fee. It also applies when a recording session is booked for four hours but completed in three and the client requests a credit for the unused hour.
Frequently asked questions
If a venue cancels my gig, should I issue a credit note or just keep the deposit?
If your contract allows you to keep the full deposit, no credit note is needed. If you agree to return any part of it, issue a credit note for exactly that amount. This protects you from any later dispute about what was agreed and gives both parties a clean record.
How do I credit a sync licence if the production used part of my track but not the full version?
Issue a credit note for the difference between what was paid and the value of the portion used, based on the rate in your licence agreement. Include the track name, the original usage type, and the revised usage in the description. Attach it to any written agreement you have with the production company.
Do I need to issue a credit note for a cancelled session if I have already been paid in cash?
If you are returning any cash, yes, a credit note creates the paper trail. Even for cash transactions, having a formal document prevents confusion about whether a refund was made and for how much. It is especially useful if either party has a dispute later about the terms of the cancellation.
