About Tutor credit notes

Tutors issue credit notes when a student prepays for a block of lessons but withdraws from the programme, when a lesson is cancelled by the tutor on short notice and a makeup session cannot be arranged, or when a student is invoiced at a higher rate than agreed. Lesson packages and term-based billing are the most common sources of credits in private tutoring.

The credit note specifies the lessons being credited, confirms the hourly or per-lesson rate, and links back to the original invoice. Parents paying for their child's tuition often need a formal credit note for expense documentation.

When to issue a credit note

Issue a credit note when a student purchases a 10-lesson block but moves schools or changes subject after lesson four, entitling them to a refund for the remaining six. Use one when you cancel a lesson due to illness and it cannot be rescheduled before the term ends. Issue one when an invoice is sent at the adult rate but the student was on the child discount. It also applies when a family overpays their term bill by bank transfer.

Frequently asked questions

A student has prepaid for the term but will miss the last three lessons for a school trip. Do I need to issue a credit note?

This depends on your cancellation policy. If you offer makeups for student-side absences, a credit note is not needed, just reschedule. If your policy does not cover refunds for student-initiated absences, no credit is owed. If you choose to refund as a goodwill gesture, issue a credit note for the three lessons.

My student's parent overpaid by bank transfer. What is the right process before I return the money?

Issue a credit note to reduce the outstanding balance from the overpaid amount to the correct amount. Then process the refund for the excess. This way your invoice shows the correct amount owed, and the overpayment is accounted for without adjusting the original invoice.

Do I need to issue a credit note for a lesson I cancelled and have already made up?

No, if the makeup session has been delivered, the value has been provided and no credit is needed. A credit note is only required when money changes hands or a balance is adjusted. If no refund or adjustment occurs, there is nothing to document with a credit note.
