When does a tutor issue a credit note?

A tutor issues a credit note when a prepaid block is unused or a rate is wrong, such as remaining lessons of a block or an adult rate billed for a student. The note references the original invoice, names the correction, and reduces what the client owes.

Typical line items

  • Original invoice number and date
  • Unused lessons credit, six of ten-lesson block
  • Rate correction, adult rate billed instead of student
  • Reason for the credit
  • Credited amount
  • Adjusted balance due
  • Tax adjusted accordingly

How the work is charged

Credit unused lessons at the per-lesson rate from the original invoice for the sessions not taught. A rate error is credited at the difference between the rate billed and the correct student rate.

Payment terms and deposits

Refund the credit to the original payment method or apply it to a future block, quoting the original invoice number. State the revised balance after the adjustment.

Tax and compliance

If the original invoice charged sales tax or VAT, the credit note generally reverses that tax in proportion to the amount credited. Confirm the rules that apply where you operate.

Frequently asked questions

A student has prepaid for the term but will miss the last three lessons for a school trip. Do I need to issue a credit note?

This depends on your cancellation policy. If you offer makeups for student-side absences, a credit note is not needed, just reschedule. If your policy does not cover refunds for student-initiated absences, no credit is owed. If you choose to refund as a goodwill gesture, issue a credit note for the three lessons.

My student's parent overpaid by bank transfer. What is the right process before I return the money?

Issue a credit note to reduce the outstanding balance from the overpaid amount to the correct amount. Then process the refund for the excess. This way your invoice shows the correct amount owed, and the overpayment is accounted for without adjusting the original invoice.

Do I need to issue a credit note for a lesson I cancelled and have already made up?

No, if the makeup session has been delivered, the value has been provided and no credit is needed. A credit note is only required when money changes hands or a balance is adjusted. If no refund or adjustment occurs, there is nothing to document with a credit note.
