What to include on a Tax Preparer invoice
Your invoice needs the client's full legal name and SSN or EIN because they'll want proof of the expense if they get audited. Include what you actually did: individual return, business return, amended return, state filings. Break out each form by number if you charged separately for schedules. Your clients will ask their bookkeeper or their own accountant about these charges later, so make it obvious what they paid for.
Most tax preparers charge a flat fee per return type and collect payment when you finish the work, before you file. Don't hand over the completed return until you're paid. Some preparers take a deposit for complex returns that require multiple meetings. Net 30 terms don't make sense in this business because clients will disappear after filing season.
Send the invoice the moment you complete the return, while the client still needs you to file it. The biggest mistake is doing the work in March and not invoicing until April when the client already filed an extension and stopped caring. They'll pay you in October maybe. Invoice immediately and make filing contingent on payment.
Frequently asked questions
How do tax preparers charge?
Tax preparers charge per form ($50–$200 per form/schedule), flat fee per return type ($200–$1,000 for personal, $500–$2,500 for business), or hourly ($75–$200). Complex returns cost more.
What should a tax preparation invoice include?
List each form prepared, the tax year, number of schedules/attachments, e-filing fee, amended return charges if applicable, and any tax planning advisory time.
Should tax preparers charge for consultations?
Brief questions during tax season can be included, but dedicated tax planning sessions should be billed separately at $100–$300/hour. Many offer a free initial review to win the engagement.
