What to include on a Driving Instructor invoice
Your invoices need your business name, ADI license number, and contact details at the top. Include the student's name, date of each lesson, start and end times, and whether it was a regular lesson or test preparation. Break down the hourly rate and total clearly. Most students will need these invoices to show parents who are paying, or to claim back costs if they're getting financial help. Your accountant will want the dates to match your mileage log.
Most instructors work on a pay-as-you-go basis or sell lesson blocks upfront. Blocks of five or ten lessons paid in advance help your cash flow and reduce no-shows. If someone books their test with you, get that fee upfront since test slots are non-refundable. Don't offer net-30 terms to individual students. You'll be chasing teenagers for money.
Send the invoice right after the lesson or at the end of each week, not monthly. Students forget what they owe after a few weeks, and parents get confused about what's already paid. If you use block payments, send a simple receipt immediately after they pay, then track remaining lessons in a shared note or app they can check anytime.
Frequently asked questions
How do driving instructors set their rates?
Driving lessons cost $40–$80 per hour depending on location. Package deals (10 lessons) offer 10–15% savings. Test preparation and vehicle rental for the test are additional charges.
What should a driving instruction invoice include?
Include lesson dates and times, lesson duration, skills covered, test preparation sessions, vehicle rental charges, insurance surcharge, and progress notes.
Should driving instructors charge for cancellations?
Yes. Require 24–48 hour notice for cancellations. Late cancellations should be charged at 50–100% of the lesson rate to protect your schedule.
