What to include on a Freelancer invoice

Your invoice needs your business name or your legal name, a unique invoice number, the date, and your client's company details. Include exactly what you delivered: "Website copywriting for About and Services pages, 1,200 words" beats "writing services." Add your payment details like bank transfer info or PayPal email. Tax ID or business registration number matters if your client needs it for their books, and they often do.

Most freelancers ask for 50% upfront before starting work, then the remaining 50% on delivery. For longer projects, bill in thirds or set milestone payments. Net 30 is common for corporate clients, but you can push for Net 15 or payment on receipt with smaller businesses. Don't start work until that deposit clears.

Send your invoice the moment you deliver the work, not three days later when you remember. Late invoices signal you're not tracking things, and clients will pay you last. Attach a PDF of the actual deliverable or link to the live work so they can't claim they never got it. This cuts out the "we're still reviewing it" excuse that delays payment by weeks.
