What to include on a Health Coach invoice

Your invoice needs to show the specific service you provided, not just "health coaching session." Write "60-minute initial assessment and nutrition review" or "follow-up metabolic coaching session." Include the date of service, your session rate, and your business details. Many clients submit invoices to HSA or FSA accounts, so they need this specificity to get reimbursed. Some will also want a receipt showing they paid, separate from the invoice itself.

Most health coaches use package pricing rather than billing per session. You might charge $1,200 for a three-month program with six sessions included. Get at least 50% upfront when the client signs up, then bill the remainder at the midpoint or end. If you do per-session billing, ask for payment right after each appointment while you're still together. Net 30 terms don't make sense for this kind of personal service.

The biggest mistake is forgetting to invoice for add-on services. You send a meal plan outside your scheduled sessions or spend 20 minutes reviewing lab work over email, then you never bill for it. Track these extras immediately and either invoice right away or add them to the next scheduled invoice.

Frequently asked questions

How do health coaches set their rates?

Health coaches charge $75–$200 per session. Monthly programs run $300–$1,000. 3–6 month packages are $1,000–$5,000. Group coaching is $50–$100 per person per session.

What should a health coaching invoice include?

Include session dates, coaching format (in-person, virtual, phone), program name, deliverables (wellness plan, food journal review), assessments, and email/chat support included.

Can health coaches bill insurance?

Most health coaching is not covered by insurance. However, NBC-HWC certified coaches may bill Medicare and some plans. For private pay, provide a receipt the client can submit to their FSA/HSA.
