What to include on a Metal Fabricator invoice
Your invoices need to spell out exactly what you fabricated. Include the material type and gauge, dimensions, quantities, and any finishes or coatings applied. Break out materials from labor because some clients need this for their cost accounting or tax purposes. If you made changes from the original spec, note them. Accountants will ask for your tax ID, and project managers need a PO number or job reference to match your invoice to their system.
Most fabricators take 50% down before cutting metal, then bill the balance on delivery or installation. For bigger jobs, split it into thirds: deposit, midpoint when main fabrication is done, and final on completion. Net 30 is standard for commercial clients you know, but don't extend terms to new customers until they've paid a few invoices on time.
Photograph your work before it leaves the shop and attach images to the invoice. This stops disputes cold when a client claims something arrived damaged or wasn't built to spec. Also, send invoices the same day you deliver. Waiting even a few days puts you at the bottom of the payment stack.
