What to include on a Musician invoice
Your invoice needs to spell out exactly what you performed and where. Write "jazz trio for corporate event at Hilton Downtown, three 45-minute sets" instead of just "performance services." Include your contact info, the client's business name and contact, invoice number, date of service, and date of invoice. Clients need this detail for their records, and their accounting departments will kick back vague invoices. If you rented gear or covered travel costs that the client agreed to reimburse, break those out as separate line items.
Most gigs work on a deposit system. Ask for 25-50% upfront when they book you, then collect the balance on the day of the performance or within a few days after. For regular clients like venues or churches, you might do net-15 or net-30 terms. Wedding and private event clients usually pay the remaining balance right before or right after you play.
Send the invoice the day after the gig while you're fresh in their mind. Waiting two weeks makes you forgettable and pushes you to the bottom of their payment pile. Also, confirm your rate and any extra costs in writing before the event. Surprises on the invoice start payment disputes.
