What to include on a Voice Actor invoice

Your invoice needs your business name or legal name, contact info, invoice number, date, and the client's details. Include the project name, exactly what you recorded (number of finished minutes, words, or the specific deliverable like "30-second commercial read"), your rate structure, and the total. If you recorded multiple takes or revised scripts, note that. Clients need this for their records and their accounting departments will reject vague invoices that just say "voiceover work."

Most voice actors invoice after delivery with Net 30 terms, though some request 50% upfront for new clients or large projects. Union work has specific payment structures you'll follow. For corporate or commercial gigs, you typically deliver the files and invoice immediately. Expect to wait 30 days minimum from large companies, faster from small businesses and independent creators.

Send your invoice the same day you deliver files. Attach it to the delivery email so the client has everything in one place. Many late payments happen because the invoice got buried in a separate email thread. If a client asks you to use their portal or system, do it even though it's annoying. Fighting their process just delays your money.

Frequently asked questions

How do voice actors set their rates?

Rates depend on usage: radio/TV commercials $250–$2,000+, e-learning $200–$400 per finished hour, audiobooks $200–$400 per finished hour. Union rates (SAG-AFTRA) have set minimums.

What should a voice acting invoice include?

Include project name, script length, usage rights (broadcast, web, internal), territory, duration of license, and number of takes/pickups. Separate studio time from performance fees.

Should voice actors charge for pickups and revisions?

Minor pickups (fixing mispronunciations) are typically included. Script changes requiring re-recording should be billed at 50–100% of the original session fee.
