Your invoice needs your business name, contact info, and tax ID if you have one. Include the client's company name since they're usually expensing this, not paying personally. Spell out exactly what they're getting: number of final retouched images, shoot duration, and whether prints or digital files are included. Their accounting department will kick back vague line items like "photography services," so write "Executive headshot session, 5 retouched high-resolution images" instead.

Most headshot photographers take 50% upfront when booking and collect the rest before delivering finals. Some do full payment at the session. Corporate clients often need Net 30 terms, which means you wait a month to get paid. If you agree to that, get a signed agreement first and build the wait into your cash flow planning.

Send the final invoice the same day you deliver images, not a week later when you remember. Clients pay faster when the work is fresh in their minds. Also, don't forget to invoice for reshoot fees or extra retouching separately if those weren't in the original quote. Trying to squeeze them onto one combined invoice later just creates confusion and delays payment.
