What to include on a Solar Panel Installer invoice

Your invoices need to show the system size in kilowatts, the panel brand and model numbers, and inverter specs. Include the permit numbers and interconnection application reference. Break out the equipment costs separately from labor and electrical work. Most customers need this detail for their financing, rebate applications, and tax credit paperwork. The utility company will ask for it too when they approve the system.

You'll want a deposit upfront, usually 30-50% when the contract is signed. Bill another 40% when the panels are installed but before inspection. Save the final 10-20% for after the system passes inspection and gets permission to operate. Some installers do a simple 50/50 split instead. Either way, tie payments to completion milestones, not calendar dates. Weather and permit delays happen.

Always attach photos of the completed installation to your final invoice. This speeds up payment because the customer can see the finished system and feels confident signing off. It also protects you if questions come up later about what was actually installed. Include the meter reading from day one of operation if you have it.
