What to include on a Speech Therapist invoice

Your invoice needs the client's name and the patient's name if they're different, which happens a lot with kids. Include the date of service for each session, the CPT code you used, session length, and your rate. Insurance companies and HSA administrators will reject invoices without CPT codes. If you saw someone three times that week, list each date separately with the code. Parents keeping records for taxes or insurance appeals need this level of detail.

Most speech therapists bill after each session or weekly for multiple sessions. Some clinics ask for a deposit equal to one or two sessions upfront. If you take insurance, you'll bill the balance after their payment comes through. Private pay clients usually expect Net 15 or payment due upon receipt. Monthly retainers work well if you see the same client twice a week or more.

Send invoices the same day as the session while parents still remember the appointment. If you wait until the end of the month, families forget what happened and payment drags out.
