What to include on a Sports Coach invoice

Your invoice needs the basics plus stuff that matters for coaching. Include your coaching certification number if you have one, since some clients need it for reimbursement from sports clubs or insurance. Break down sessions by date, type of training (individual vs group), and duration. If you're coaching kids, parents often need detailed records for tax deductions or to show the club treasurer. Note the location too because travel sessions cost more and clients forget they agreed to that.

Most coaches do monthly billing for ongoing clients. You charge at the start of each month for sessions that month, or bill on the last day for sessions just completed. One-off clients pay upfront, always. Package deals work well too. Sell 10 sessions at once with payment due before the first one. This locks in commitment and saves you from chasing money every week.

Put your payment deadline right at the top in bold, not buried at the bottom. Seven days max for regular clients. The biggest mistake is being vague about cancellations. State your 24-hour cancellation policy directly on every invoice. No show equals full charge. Sounds harsh but parents and amateur athletes will ghost sessions otherwise, and you lose income.

Frequently asked questions

How do sports coaches set their rates?

Private coaching runs $50–$150/hour. Group clinics cost $20–$50 per player per session. Team coaching is $200–$500 per session. Seasonal program fees vary widely by sport and level.

What should a sports coaching invoice include?

Include session type (private, group, team), player names, sport, skill focus, session dates, facility fees if applicable, equipment provided, and any video analysis included.

Should sports coaches charge for program design?

Yes. Custom training programs, seasonal plans, and video analysis take significant time. Bill these as separate line items or fold them into a premium coaching package.
