What to include on a Web Designer invoice

Your invoice needs to show exactly what the client is paying for. Break down design work by deliverables like homepage design, subpage templates, or revision rounds. If you're billing hourly, include the date range and total hours. Add your business details and tax ID if you have one. Clients need this for their bookkeeping, and their accountants will reject vague invoices that just say "web design services."

Most web designers take 50% upfront before starting any work. The remaining 50% comes due when you deliver final files or launch the site. For bigger projects, split it into thirds: deposit, midpoint after design approval, and final payment at launch. Don't start building until the deposit clears. Net 15 or Net 30 terms only make sense for ongoing retainer work with established clients.

Send your final invoice before you hand over the files or point the domain. Clients suddenly become hard to reach once they have everything they need. Keep the final deliverables in your own staging environment until payment clears. This isn't being difficult, it's basic protection. You can be friendly about it, but be clear that file transfer and payment happen together.

Frequently asked questions

How should web designers price their work?

Common models include per-page ($300–$1,000+), project-based ($2,000–$15,000 for a full site), or hourly ($75–$200). E-commerce sites cost more due to product pages, checkout, and integrations.

What should a web design invoice include?

Itemize by project phase: wireframes, mockups, design revisions, responsive testing, and asset delivery. Include the number of pages, revision rounds, and deliverable formats (Figma, PSD, live code).

Should web designers charge separately for stock images?

Yes. Stock photos, icons, and premium fonts are reimbursable expenses. Either bill at cost or include a flat media budget in your estimate. Be transparent about what's included.
