Include the project name, dates you worked, your hourly rate or the flat fee you agreed on, and the total hours if billing hourly. Accountants will ask for a purchase order number if the company issued one. Add your business registration details and tax ID if you have them.

Most UX designers ask for 25-50% upfront before starting work. Break the remaining payments into milestones like "after research phase" or "after high-fidelity mockups approved." For ongoing retainer work, bill at the start of each month. Standard payment terms are Net 30, but you can ask for Net 15 if you have the leverage. Agencies pay slower than startups, which pay slower than freelance clients.

Send your invoice the same day you deliver the work. Clients forget details fast, and your fresh delivery reminds them you just solved their problem. Attach a PDF of the key screens or research summary with your invoice email. This jogs their memory and makes approval easier for whoever signs off on payments.
