Your invoice needs to show exactly what design work you delivered. Specify the project name, the actual deliverables like mockups for the checkout flow or the revised homepage designs, and how many revision rounds were included. Clients will ask their finance team to verify this matches the original proposal. Include your invoice number, date, payment due date, and your business details for their accounting system.

Most UI designers charge 50% upfront before starting work and 50% on delivery of final files. Some break projects into milestones like 25% to start, 25% after initial concepts, 50% at completion. Once you have regular clients, you might invoice monthly with net 15 or net 30 terms. Avoid invoicing everything at the end of a long project because clients get sticker shock.

Send invoices the same day you deliver the final files, not three days later when you remember. Include a PDF preview of one key screen in the invoice email so they can see what they're paying for. Clients process invoices faster when they can immediately confirm the work is done. Also, always send a reminder email two days before the due date.
