Free Physiotherapist Timesheet Template

Physiotherapists in private practice need accurate time records to support insurance billing, NHS contract reporting, and clinical governance requirements. A timesheet documents session time, assessment and report writing, and professional development hours in a format that is easy to review and submit. It also provides the data needed to monitor caseload capacity and identify when additional administrative time is affecting clinical availability.

Frequently asked questions

Do I need to record report writing time separately on my timesheet?

Yes. Assessment reports, insurance reports, and GP correspondence take significant time and are billable professional services. Record them separately from treatment sessions with a description noting the report type and the relevant insurer or referrer, as different payors may have different billing codes for report writing.

How do I handle a session that was shorter than booked because the patient left early?

Log the actual treatment time. Most private practices charge for the full booked session if the patient leaves early without reasonable cause, but document the actual treatment duration accurately regardless of what is charged. Clear records protect you in any subsequent billing dispute.

Should I record my time differently for direct treatment versus supervised exercise sessions?

Yes. Hands-on treatment and supervised rehabilitation have different skill requirements and may be charged at different rates, particularly if you are billing an insurance company. Separating them on the timesheet supports accurate billing and clear clinical documentation.
