Your invoice needs the exact service you provided and the date you provided it. Write "individual counseling session on March 15" or "family assessment and care plan development" instead of vague descriptions. Include your license number and NPI if you have one because insurance companies and Medicaid will reject claims without them. If you're billing insurance, add the client's policy number and diagnosis codes. Some agencies require a supervisor's signature for reimbursement, so check their requirements before you submit.

Most social workers bill after services are delivered, though some private practitioners ask for payment at the time of service. If you're contracting with agencies or doing evaluations, Net 30 is standard but you can negotiate for Net 15. School districts and government agencies are notoriously slow payers, sometimes taking 60 to 90 days regardless of your terms.

Submit your invoices the same day you provide services or at least within 48 hours. Late invoicing is the biggest reason social workers don't get paid on time.
