What to include on a Therapist invoice
Your invoice needs your practice name, license number, and tax ID because insurance companies won't process claims without them. Include the date of each session, the CPT code for the type of therapy provided, and your rate. If a client is submitting for out-of-network reimbursement, their insurance will reject vague descriptions. Write the actual service like "individual psychotherapy, 45 minutes" not just "session."
Most therapists collect payment at the time of service, either right before or right after each session. This works better than monthly billing because people forget what happened three weeks ago and dispute charges. If you do insurance billing, you'll wait 30 to 45 days for payment, so factor that into your cash flow. Some practices ask for a credit card on file and charge it automatically after each appointment.
Create a separate invoice for each date of service instead of lumping multiple sessions together on one bill. Insurance requires this anyway, and it prevents confusion when a client questions a charge. They can see exactly what they're paying for and when they received the service. This small habit eliminates most payment disputes before they start.
Frequently asked questions
What should a therapy superbill include?
A therapy superbill needs provider name and credentials, NPI number, CPT codes (90834, 90837, etc.), ICD-10 diagnosis codes, session date, fee charged, and payment received.
How do therapists handle insurance vs. private pay invoicing?
For insurance, submit claims with proper codes. For private pay, provide a superbill the client can submit for out-of-network reimbursement. Clearly list session fees and payment method.
Should therapists charge for late cancellations?
Yes. Most therapists charge the full session fee for no-shows and cancellations within 24–48 hours. This is standard practice and should be in your intake paperwork and stated on invoices.
