What to include on a Counselor invoice
Your invoice needs to show the date and duration of each session, not just "counseling services." Insurance companies and FSA administrators will reject vague descriptions. Include your license number and NPI if you have one. Clients often need this for reimbursement even if they're paying out of pocket. The tax ID matters too if they're using HSA funds.
Most counselors collect payment at time of service, either before or right after the session. This isn't rude. It's standard practice and prevents you from chasing money later. If you bill insurance directly, you'll wait 30-45 days for payment. Some therapists require a credit card on file and charge it automatically after each appointment. Whatever you choose, put it in writing during intake.
Send the invoice the same day as the session, even if you already collected payment. Clients forget details fast, and when January comes they'll ask you to recreate six months of dates for their taxes. You'll waste hours doing data entry you could have automated. Also, never label a session with the specific issue discussed. "Individual therapy session" protects their privacy way better than "anxiety counseling" or "marriage problems."
Frequently asked questions
How do counselors price their services?
Licensed counselors charge $100–$250 per session. Couples and family sessions are typically $20–$50 more per session. Sliding scale fees ($50–$100) are common for underserved clients.
What should a counseling invoice include?
Include session type (individual, couples, family, group), duration, CPT code, date of service, and payment. For insurance, add diagnosis code, provider credentials, and NPI number.
Should counselors offer sliding scale pricing?
Many counselors reserve a portion of their caseload for sliding scale clients. Document the reduced fee on the invoice. This is a common and ethical practice in the mental health field.
