What to include on a Upholsterer invoice

Your invoice needs the fabric yardage and type because clients will question material costs later. Include the specific furniture piece you worked on, like "Victorian armchair reupholstery" rather than just "upholstery work." Break out labor hours separately from materials. Add foam density specs and any structural repairs you made to the frame. Your client's insurance company or their accountant will want this detail if they're filing a claim or need documentation.

Take at least 50% upfront before ordering materials. Fabric gets expensive fast and you can't return custom-cut pieces. Bill the remaining balance on completion before you deliver the piece back. For commercial clients you can offer net 15 terms once you've worked together a few times, but residential clients should pay in full on pickup.

Take photos before you start any job and attach them to your invoice. When a client says "but the springs were fine before," you'll have proof of what condition that sofa was really in. This stops payment disputes cold. Also, get fabric approval in writing with a photo or swatch attached to your quote.
