What to include on a Property Manager invoice

Property management invoices need to show the exact property address since most clients own multiple buildings. Break out management fees separately from any maintenance charges or vendor reimbursements. Include the period covered, like "Management Services: October 1-31, 2024" because your clients are tracking monthly expenses per property for their taxes. Attach receipts for any third-party costs you paid on their behalf. Their accountants will ask for backup documentation.

Most property managers charge a percentage of collected rent, typically 8-10%, which gets invoiced after rent collection each month. Some add flat fees for leasing new tenants or handling maintenance calls. Bill at month-end after you know the actual rent collected, not at the start of the month. Payment terms are usually net 15 or net 30. Don't expect deposits unless you're also handling a large renovation project.

Set up automatic invoicing on the first of each month for the previous month's work. The faster you bill, the faster you get paid. A common mistake is waiting until you reconcile every tiny receipt before invoicing.
